Stage 5
Make the move

Executing a successful transition to SaaS

How do I begin my SaaS transition?

You’ve done all the preparation, now it’s time to start executing your transformation. The first step is to clearly define your project timeline and the future state of your Council on SaaS including key risks, mitigation strategies, roles and responsibilities. Defining this at the outset will enable you to maximise adoption and minimise disruption.

How long should a SaaS transition take?

For a council that is configured with OneCouncil, it takes approximately 16 weeks, with approximately 40 - 50 working days allocated to User Acceptance Testing (UAT) in a test environment with Council data.

Why is it important to move to SaaS first?

Management of an enterprise software solution isn’t a core business objective for your Council – so why make that a focus? Moving to SaaS is a logical step for Councils that are serious about operating efficiently and securely in the 21st century and beyond.

SaaS simplifies and stabilises the platform, brings Council up-to-date on the latest release, and accelerates time to value based on ongoing transformation and modernization as new enhancements are released annually.

Team members can tap into a modern user interface on any device, anywhere, at any time and collaborate on the go. TechnologyOne’s SaaS Platform offers the highest level of security, always-on reliability and the opportunity to scale usage up-or-down to suit your business’ needs. Knowing that system upgrades, data security and performance are taken care of, means you can concentrate on your core business and your customers.

How do I measure success?

In a successful transition, Council should be able to maintain day-to-day operations with minimum and preferably no disruption. When you partner with TechnologyOne you benefit from a direct relationship throughout every step of your journey - from implementation to transformation. Our trusted team of experts will partner with you to unlock the value of your technology investment and set you up for success.

Start your digital transformation

The journey to digital transformation involves careful planning and consideration. We've devised five key stages to get you started and on your way.

Clear vision and strategy

Not every digital transformation strategy is made equal. Its success hangs on having a clear vision and strategy, from the outset. The strategy needs to be linked to the overall Council vision, goals and long-term plan, which means having executive buy-in and sponsorship.

Make a business plan

Once you have outlined a clear vision and strategy for digital transformation, the next step is to build your business plan. A business plan is essentially your roadmap, outlining the steps needed to achieve your vision. You should approach it like an instruction manual, breaking your business plan into achievable and necessary steps.

Build a business case & gain executive sponsorship

You have the vision. You have the plan. Now you need to put it into action. Developing a business case that secures executive and organisational buy-in and approval can be the ‘make or break’ of your digital transformation.

Align with IT strategy

Tick: your business case is approved. Before you get started, the last step of your preparation stage is to ensure your digital transformation strategy is aligned with IT. Failure to align these strategies will cause unnecessary headaches, roadblocks and delays throughout your implementation project.

Make the move

With your strategies aligned, it’s now time to start executing your transformation. The first step is to clearly define your project timeline and the future state of your council on SaaS including key risks, mitigation strategies, roles and responsibilities. Defining this at the outset will enable you to maximise adoption and minimise disruption.
